Document and Folder Status Icons

The Status column in the document list displays the current status of a document or folder using status icons.

When looking at a document, the Status column will show two icons – one for the availability (download) status and one for the activity (ProjectWise) status.

  

Availability (download) status icons for documents:

  • Available when online (cloud icon)   – means that the document is available online (it exists in ProjectWise) but there is no local copy of this document on this computer (either it has not been downloaded yet, or the local copy has been deleted).
  • Available on this device (circle with a check mark icon)  – means that a local copy of this document is available on this computer (it was automatically downloaded from ProjectWise when you opened or checked out the document)
  • Always available on this device (filled circle with a check mark icon)  – means that the local copy of the document that is available on this computer was downloaded using the Always keep on this device option (or possibly, it was downloaded by opening or checking out the document, and later the Always keep on this device option was turned on for the document). (If Storage sense (a Windows feature) is on and enabled for ProjectWise Drive, then the Always keep on this device option will also prevent any file in ProjectWise Drive that is marked with the   icon from being automatically deleted by Storage sense (when Storage sense periodically removes unused ProjectWise Drive files from the computer).)
  • New local document (star/asterisk icon)   – means that this is a local document that has not been added to ProjectWise yet.

Activity (ProjectWise) status icons for documents:

  • Checked in with Write access (pencil icon)  – means that the document is checked in and can be checked out by anyone who has permission to check out the document. (Permissions are set in ProjectWise Explorer.)
  • Checked out in Drive (downward arrow icon)  – means that the document is currently checked out to you in ProjectWise Drive (either from ProjectWise Drive or ProjectWise Web).
  • Checked in with Read-only access (crossed out pencil icon)   – means that the document is checked in and you only have permission to download or open the document for viewing (you cannot check it out).
  • Locked (lock icon)  – means that another user has checked out or exported this document. Documents that are locked cannot be checked out but can be downloaded and opened for viewing.
  • Final status (tag icon)  – means that someone has set final status on this document (either from ProjectWise Web or ProjectWise Explorer). Documents in final status cannot be checked out but can be downloaded and opened for viewing.

The Status column for a folder shows the availability (download) status icon.

  

Availability (download) status icons for folders:

  • Available when online (cloud icon)   – means that not all the documents in this folder (and its subfolders) have been downloaded to your computer.
  • Available on this device (circle with a check mark icon)  – means that all the documents in this folder (and its subfolders) have been downloaded to your computer.
  • Always available on this device (filled circle with a check mark icon)  – means that all the documents in this folder have been downloaded using the Always keep on this device option (or possibly, all of the documents were already downloaded, and later the Always keep on this device option was turned on for the folder). (If Storage sense (a Windows feature) is on and enabled for ProjectWise Drive, then the Always keep on this device option will also prevent any file in ProjectWise Drive that is marked with the   icon from being automatically deleted by Storage sense (when Storage sense periodically removes unused ProjectWise Drive files from the computer).)
